BizTrip AI Announces Launch of Dynamic Travel Policy Engine

Solution said to adapt as program requirements change

BizTrip AI, makers of agentic AI for corporate travel management, announced the launch of its Dynamic Travel Policy Engine. The company called the solution “a breakthrough capability that automates and personalizes managed travel policy at the individual traveler level.”

Unlike traditional travel policies stored in static PDFs and policy handbooks, said the announcement, BizTrip AI’s new engine delivers policy dynamically, in context, and tailored to each traveler’s role, history, preferences and compliance profile. As program requirements change, the policy evolves with them, automatically.

“Paper policy is dead,” said Tom Romary, CEO of BizTrip AI. He continued, “Even the best-intentioned policy document is obsolete the moment it’s published, because programs change, suppliers change, travelers change, and macroeconomic volatility creates constant economic uncertainty.”

Prices, said Romary, fluctuate rapidly due to market conditions — such as regional conflicts driving up airfares — and static policies simply cannot keep up. The Dynamic Policy Engine, he said, “makes policy a living system.” He added: “It meets each traveler where they are, gives them the right guidance at the right moment, and it grows and adapts right alongside the travel program. This is what modern policy management looks like.”

The announcement cited research from Phocuswright that found that nearly 1 in 5 business travel bookings still fall outside policy, often for reasons as simple as convenience or lack of clear guidance at the point of booking. Meanwhile, a 2026 report by Skift and Navan found that 80% of surveyed business travelers sometimes book off-platform entirely — creating compliance gaps that legacy systems are not designed to close.

The result, said the announcement, is wasted program spend, frustrated travelers and travel managers left chasing exceptions rather than optimizing programs. The new engine, said the announcement, replaces the static policy document with a dynamic, AI-driven layer that operates across the entire travel lifecycle.

Key capabilities of the engine include:

  • Traveler-level personalization: Policy parameters are applied individually based on each traveler’s role, seniority, travel frequency, destination, trip purpose and historical booking behavior.
  • In-context policy delivery: Rather than managers expecting travelers to memorize a policy document, guidance is surfaced in real time at the exact moment a decision is being made. At any point a traveler can simply ask BizTrip AI about specific policy guidelines, such as, “What is my daily per diem?”
  • Contextual policy adjustment: Policy adjusts contextually to the specific trip. If prices are exceedingly high, the traveler is alerted that prices are higher than what’s in policy; if prices are lower, the system avoids using an artificially inflated average cap, instead steering travelers to lower-cost options.
  • Compliance by design: By embedding policy into the booking experience rather than enforcing it after the fact, BizTrip AI shifts compliance from a reactive audit function to a proactive, built-in outcome.
  • Full program visibility: Travel managers gain a real-time view of policy adherence, traveler behavior patterns and program performance. This enables faster, data-informed decisions.
